Olive Branch Support Ltd (company number 16699234) provides session-documentation services to supported accommodation providers in the UK. This notice explains how we handle personal information on this website and in our client platform, and the rights you have under UK data protection law.
Who we are and how to contact us
Olive Branch Support Ltd is the operator of this website and the Olive Branch platform. For anything in this notice, contact admin@olivebranchsupport.co.uk.
The two roles we hold
For information about platform users - the housing provider staff who are given accounts - and visitors to this website, we are the data controller.
For information about residents recorded during support sessions, we are a data processor acting under a written agreement with the housing provider, who is the data controller. If you are a resident (or acting for one) and want to exercise your rights over that information, please contact your housing provider; we will support them fully in responding.
What we collect
- Account details - name, work email address and role, provided by your employer to set up your login.
- Session records - the information support workers enter about support sessions, which can include resident names, support needs, wellbeing observations, photographs and electronic signatures. This is processed on the housing provider's instructions.
- Activity records - the platform keeps a full audit trail of actions taken in it (who did what, and when), because our service exists to produce records that stand up to inspection.
- Cookies - essential cookies only, used to keep you signed in. We do not use advertising or tracking cookies.
What we use it for
- Producing and delivering professional support-session documentation for housing providers.
- Keeping support plans and related records up to date on the provider's behalf.
- Operating, securing and supporting the platform, including the audit trail.
- Meeting our legal obligations, including safeguarding escalation procedures agreed with each provider.
We do not sell personal information, and we do not use it for advertising.
Where it is kept and how it is protected
- Data is stored in a UK data centre.
- Information is encrypted in transit and at rest.
- Access is role-based: each organisation's information is isolated at database level, and staff can only see what their role requires.
- Original session submissions are locked from the moment they are made - the platform is built so they cannot be altered.
- Where members of our documentation team work outside the UK, that processing is covered by appropriate safeguards recognised under UK data protection law, and the data itself remains stored in the UK.
Who we share it with
We use a small number of service providers to run the platform - UK/EU-region hosting, database and email infrastructure - each bound by data processing agreements. Session documentation is shared with the housing provider it belongs to, and with no one else, unless the law requires it (for example a safeguarding duty or a court order).
How long we keep it
Support records are kept for the duration of our agreement with the housing provider and for the period they instruct afterwards, which reflects the regulatory and inspection requirements they are under. Account details are kept while the account is active; accounts are deactivated rather than erased so that the audit trail behind existing records remains intact, in line with those requirements.
Your rights
UK data protection law gives you rights over your personal information, including access, correction, erasure, restriction, objection and portability. To exercise them, contact admin@olivebranchsupport.co.uk (or your housing provider, for resident records). You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes to this notice
If we change how we handle personal information, we will update this notice and the date at the top.
